The admissions office asks it every intake. The WhatsApp CRM answers it from the enquiries that actually arrived — and shows who answered each family, and when.
WhatsApp CRM → Lead Quality, this intake: the funnel with a count per stage and its biggest drop-off, Lost’s top reason, lead quality by source — leads, converted, the conversion rate with its bar — then stage velocity and by owner. Sort the table, hover the funnel, switch the range.
| Source | Contacted | Visited | Quality |

Conversion rate = deposited ÷ leads, counted on the cohort created in this range and followed to today. The quality bar weights how far a source's leads travelled down the funnel.

Mirrors: School Admin → WhatsApp CRM → Lead Quality · the source of every lead is written by the system, so the table is the one the office can trust
The source is recorded by the system. A click-to-WhatsApp advertisement carries its own referral, so the row the office reads was written by Meta’s referral, not remembered by a person. Walk-ins and open days are labelled by hand, and a lead with no label is counted as such rather than guessed.
Converted here means the lead became a Guardian and a Student on the school’s record. It writes no deposit and no bill — those are raised in Finance, against that same record.
A lead cannot be typed in: only an inbound message opens one, so the board holds what actually arrived. Every card shows its owner, or Unassigned in red, and carries the family’s children with their age and who is writing.

Mirrors: School Admin → WhatsApp CRM → Lead funnel · every card carries the family’s children, their age and who is writing
The child and the relationship are on the card because the parent wrote them in the first message — the office never re-asks. Two stages set themselves: the first staff reply marks a lead Contacted, and converting it marks it Deposited. A deposit also pings the school’s own Telegram group — the board is the record; the group is the doorbell.
The conversation list, the thread, and the contact panel with the children, the owner and the stage history. The reply is typed where the office types it, and the stage is changed by a named person.
Mirrors: School Admin → WhatsApp CRM → Inbox · the reply is typed in the composer; the family’s children stay on the right
Press a quick reply and the text types into the composer at the foot of the thread; Send lifts it into the conversation as the school’s bubble, and the stage history writes the line with the person’s name and the time. One thread in the list is in Malay and one in 中文 — a person replies in the language the family used.
A phone: the cover with Local and International tiles that change the document checklist, the five steps, one photo of the MyKad that fills the child’s card, a signature drawn on the pad, and the reference code at the end.

Every field the parent types becomes the record — a real User, Student and Guardian at submit, so the office never re-keys a name, a date of birth or an address. The wizard speaks English, Malay and 中文, and what is still missing gets its own upload link, good for thirty days.
The same form runs on a front-desk kiosk: a family signs in with a phone number and a one-time code, and what was started at the desk is finished at home. The CRM lead and the application stay separate records — at conversion the office can link an existing lead by its phone number; the card never turns into the form.
We will show you the report with your own sources on it, the board with your own intake, and the form with your own document checklist.
